Our field trip policies have changed. Limited staff support is available and we cannot guarantee that your group will have a guided tour experience. We recommend that all groups be prepared for a self-guided/teacher-led visit. We are still committed to providing you the most enjoyable and educational visit possible, so please reach out to our staff in advance if you have special interests or would like to make specific classroom connections. We will communicate with you about which exhibits and materials will best meet your needs.

Field Trip Policies:

School visits are scheduled on Thursdays from 10:30 am–12:30 pm and 1–3 pm. Please submit your request via the form below to ensure your desired date and time. If the calendar is full, please contact us directly (museumtours@itc.edu) to discuss our waitlist or other potential alternatives.
We can accommodate groups of up to 75 students.
Please submit your request at least three weeks in advance of your desired date. If you need to modify your reservation (arrival time, group size, etc.), please notify the ITC in advance of your scheduled visit. If you need to cancel, we appreciate at least 48 hours’ notice.
The Back 40 historic buildings are closed for the foreseeable future.
We offer outdoor facilities for group-supplied lunches. For the safety of our collections, we are unable to allow groups to eat indoors at the ITC. In case of inclement weather, your group is welcome to wait indoors, but we cannot allow food. Please take weather into account when preparing for your visit and make alternate arrangements if conditions require them.

What is the maximum class size?

Due to the capacity of the Institute’s exhibit floor, we are only able to accommodate groups of up to 75 students. Larger groups may be accommodated with multiple bookings: please contact us directly at museumtours@texancultures.edu.

What is the reservation policy?

Field trips must be scheduled at least three (3) weeks in advance.

Please be aware that leaving a voicemail or sending an email does not represent a confirmed reservation. A confirmation letter from the reservations office is required as verification of your group’s reservation. Please allow up to one week for confirmation.

What are the guidelines for chaperones?

For the safety of students and the enjoyment of other guests, the Institute requires that student groups be accompanied at all times by an appropriate number of adult teachers or chaperones. Chaperones are expected to ensure that students behave appropriately and are mindful of other guests visiting the museum.

Pre-K & Kindergarten (Ages 6 and Under)
A chaperone-to-student ratio of 1:5 is required for Pre-K through Kindergarten classes. For every five (5) students, there should be one adult actively monitoring the group.

Grades 1–12 (Ages 6 and Up)
A chaperone-to-student ratio of 1:10 is required for grade levels 1 through 12. For every ten (10) students, there should be one adult actively monitoring the group.

How should we get to the museum?

Field trip reservations come with priority access to our bus parking lot. The entrance to this lot is located off of the frontage road for HWY 281/I-37. Detailed directions are provided with your booking confirmation.

Please confirm the bus parking location with your bus driver(s). To ensure that our front lot remains available for other visitors, we are unable to allow buses to wait there during your field trip, and the limited space makes it difficult for buses to exit the lot.

What are the payment options?

Admission to ITC is by donation. Suggested donation is $3 per student and $7 per chaperone.

The ITC accepts cash via in-person donation stations and credit cards via an online donation platform. Look for donation stations with QR codes at the museum entrance. You may also donate through giving.utsa.edu/itc.

What are the lunch options?

A group visit reservation guarantees access to our outdoor picnic area. Indoor lunch facilities are not available.
